​We welcome volunteers in the classroom, on field trips and with certain tasks at school or at home. Certain activities or field trips would not be possible without the active participation of our volunteers. Contact us about ways you can volunteer with our school.​

​(Please note, guest speakers or visitors to the school, and parents/guardians assisting their own child only are not considered to be volunteers and do not require a police information check.) 

Volunteer Security Clearance Process 

​Step 1

Go to MyCBE and click on the "Online forms and School Registration" tab and complete the volunteer registration 2025-26 form.

School administrators will verify your identity and register you in the CBE volunteer database. The school office will provide you with a letter enabling you to obtain a police information check from the Calgary Police Service (CPS). 

Note: prospective volunteers must reside in Canada for a full year before registering. Police clearances from countries other than Canada are not accepted. 

Step 2

Visit the CPS online system, electronic Police Information Check (ePIC), to obtain your police check using your CBE volunteer letter. 

Volunteers should wait to submit their request until they receive an email from Calgary Police Service – Record Check inviting them to apply for their Police Information Check with VS for Volunteer. This will ensure the voucher is ready to be redeemed by the volunteer.

Voucher costs are covered for online applications only. If a volunteer applies to Calgary Police Service in-person with the e-Pic letter given them from their school, the $21.25 application fee will apply.​

If a volunteer submits their own payment, there is no option for a refund. There is no refund option for volunteers who have previously submitted applications.​​

If you are unable to complete the process online, you may visit a police information check location instead. 

Step 3

Once you have received your clearance document from CPS you will need to share it with the school in-person or by email.

Volunteering for an Off-Site Activity

If you want to volunteer for an off-site activity, please keep in mind: 

  • Volunteers on an activity are considered representatives of the Calgary Board of Education and are subject to the same expectations as staff
  • Volunteers are subject to the requirements of CBE Administrative Regulation 5003 – Volunteers, which includes an application and a police security screening check
  • Volunteers are covered by the CBE’s liability insurance policy while performing their assigned duties
  • Volunteers are covered by WCB while performing their duties
  • Volunteers receive direction from and are accountable to the teacher-in-charge​​​

Annual Volunteer Registration

Each school year you must complete the CBE volunteer registration form. By completing the form, you agree to abide by the conditions that protect the safety, confidentiality and working environment of our schools. You also make a signed declaration with regard to criminal charges.

Volunteering at Sundance School in 2025-2026

Bienvenue! We are excited for another school year at Sundance School. We are anticipating several school wide volunteer opportunities throughout 2025/2026 as well as the opportunity to volunteer in your child’s classroom. 

Your child’s teacher will reach out for any volunteering opportunities and will have a list of those volunteers who have fully completed the process (please see below).

CBE Annual Volunteer Registration Form: A new form must be submitted every school year.  Please ensure you complete both sides of the form and sign where indicated.  One form is required per volunteer.  The information provided on this form will only be available to the Volunteer Coordinators and otherwise will remain confidential.  The Volunteer Coordinator will use your email address to contact you for school wide volunteer opportunities and will not share this information with anyone else. If you DO NOT consent to the Volunteer Coordinator having your contact information, please let the Office know. The form MUST be completed, returned and processed prior to adding you to our volunteer pool.  You may find the Annual Volunteer Registration Form on this page under 'Related Information'.  Please print it and send the completed form back to school with your child or complete online and email to volunteer.sundance@gmail.com

Along with the above form, volunteers must have a current approved Police Clearance status initiated through the school office.  Police clearances with CBE are valid for 5 years.

CBE Police Clearance/Information Check:  Your current Police Clearance status will be checked once we have received the above form. If you need to apply for or renew a Police Clearance, we will notify you via email or phone call.  The multi-step process starts with a visit to the School Office to present your identification and request the letter required to apply online. This may take a few weeks to complete.  You can find more information on the police clearance process on the CBE website: CBE Volunteer

Once you have received your clearance letter from the CPS, please would you provide a copy to the school office since they are not automatically provided with a copy.

You will be notified via email once you are approved to volunteer! If you have waited for more than two weeks from the time of sharing your Police Clearance, please reach out to the Volunteer Coordinators for further investigation.
